Control Contractor Access
Controlling contractor access with VizPass comes down to three decisions made at the gate: who gets a pass, when it ends, and who must never get one again. Every worker is checked in on a pass of their own, expired passes and blocked people are refused, and the site can see who from each contractor is still inside. Work orders and inductions stay in your own process.
A plant with five contractors on site rarely loses control at the gate in one dramatic moment. It happens a worker at a time: someone waved in because the guard knows his face, a crew member whose job finished last week, a man who was told not to come back and came back anyway. When the siren goes, nobody can say who from which contractor is still inside. Each section below closes one of those gaps.
Decide Who Gets a Pass Before the Crew Arrives
- The host pre-registers the regular crew, so they are already on the gate's list when they arrive. Require host approval on WhatsApp if you want a named person to say yes to every entry.
- Walk-ins scan the gate QR code and fill in their own details while the guard checks ID. A returning worker is recognised by phone number, with name, company and ID details filled in.
- Switch the company field on, and every pass records which contractor the worker came from.
The mistake that undoes all of this is letting a regular worker in on a nod. Each worker needs a pass of their own every visit; crews are checked in one person at a time.
Give Every Pass an End Time
- A pass covers one visit, and the exit scan closes it, so a used pass cannot get anyone back in.
- The host sets when each pass ends. A pass past its end time is refused at entry, and the guard is told the host must book a new visit. An expired pass still lets its holder leave.
- Anyone still inside after their pass ends is reported to the host and admins, once per pass. A pass issued with no end time never raises that alert, which is why it is worth setting one every time.
Keep Out the People Who Must Not Return
- Block a worker with a reason — after an incident, or until your safety team has re-inducted them. From then on the gate refuses to check them in, even on a visit that was already booked, and shows the guard why.
- Blocking is per person. There is no contractor-level ban, so if a contractor is removed from site, block each of their workers or stop booking passes for them.
Know Who Is Inside, from Which Contractor
- The On Site list shows everyone inside right now, by site and gate, and can be searched by company name to see who from one contractor is still on the floor.
- In an evacuation the same list becomes the roll call, and each person can be marked safe.
- Visit reports export as CSV, so a day's entries can be totalled by contractor if billing or a dispute needs the number. VizPass does not keep a running tally per contractor.
Where VizPass Stops
VizPass does not hold work orders, contract end dates, induction records, certificates or documents, and it has no gang entry or contractor portal. Run those in your contractor-management or safety process; VizPass is the gate record of who actually came in, when, from which contractor, and whether they left.

Control Contractor Access FAQs
How Do I Stop Contractors Entering Without a Valid Induction?
VizPass cannot check an induction; it does not store induction records or certificates. What it gives you is the block: when a worker's induction lapses, block them with a reason, and the gate refuses to check them in — even on a visit already booked — until an admin unblocks them after re-induction. Keeping track of whose induction is due stays with your safety team.
What Happens When a Contractor's Job Ends Early or Is Cancelled?
VizPass has no work orders, so nothing ends automatically when a job does. Stop booking passes for that contractor's workers; any pass already issued is refused once its end time passes, and anyone still inside after that is reported to the host and admins. If someone must not come back at all, block them, and the gate refuses them even on a visit that was already booked.
Can I See How Many Contractors Are Inside My Facility Right Now?
You can see everyone inside on the On Site list, with the company on each person's pass, and search it by company name to see who from one contractor is still on the floor. There is no running tally per contractor and no comparison with a work order. For contractor-wise numbers, export the day's visits as CSV and total them by company.
How Do I Handle Contractors Who Return Regularly or Work Across Several Sites?
A returning worker is recognised by phone number, with their name, company and ID details filled in, so check-in is quick — but they still get a new pass for each visit, because a pass covers one visit. Several sites run under one account, so the same worker is known at each of your gates, and a block applies wherever they try to check in.
How Is Contractor Workers' Personal Data Handled?
Workers who register on the gate app or through the self-registration link see your privacy notice and agree to it before their photo and ID are taken, and that agreement is recorded on the pass. Exports are written to the activity log, and a wrong entry is reversed with a reason rather than edited away. Your duties as the data fiduciary, and site safety under the framework set out by DGFASLI, remain yours.
How Do I Ban a Contractor Worker Immediately?
Block them, with a reason. From that moment the gate refuses to check them in, even on a visit that was already booked, and the guard sees the reason. If they are inside, check them out at the gate. Blocking is per person: there is no contractor-level ban, so removing a whole contractor means blocking each worker or no longer booking their passes.
