Terms of Service

These terms govern your use of VizPass, provided by BeyondBoxAI Technologies Pvt. Ltd. (“we”, “us”). By creating an account you accept them on behalf of your organisation.

1. What you get

A subscription to VizPass as a hosted service, for the modules on your plan, billed at the plan's monthly or annual rate. Plans may be changed either way at any time; switching a module off stops billing for it and hides it without touching the data behind it.

2. Trial

Trials run 7 days and need no card. At the end you either subscribe or the account stops. We keep trial data for a short grace period so a late decision does not cost you your setup work, then delete it.

3. Plans, billing and taxes

Plans are Trial, Starter, Complete and Enterprise. Current prices are on the pricing page; you pay what was shown when you subscribed.
Billing is per active employee, per month, in Indian rupees, in advance. Employees added mid-cycle are billed pro rata; modules you switch off are not billed.
Prices exclude GST, which is charged as applicable.
We give at least 30 days' notice before a price change affecting an existing subscription, and it takes effect at your next renewal — never mid-term.
If payment fails we will tell you and keep the account running for a grace period before suspending it. We do not delete data because an invoice is late.

4. Your data is yours

You own everything you put into VizPass. We claim no ownership of your staff records, visitor registers, photographs or documents, and we do not use them to train anything or to benefit another customer.

You can export your data at any time without asking us. If you leave, you may export everything during the wind-down window; after that we delete it, save for anything the law requires us to retain. How we handle personal data is set out in the Privacy Policy and, for the data inside your account, the Data Processing Agreement; both form part of these terms.

5. Your responsibilities

Keep account credentials secure and tell us promptly if you suspect misuse.
Make sure you are lawfully entitled to record the people you record — your own staff, and the visitors, drivers and couriers who arrive at your gate — and that you have told them what you collect and why. A camera and an ID check at a gate are your responsibility to notice properly.
Use VizPass for lawful workplace purposes. Do not attempt to breach the tenancy boundary, probe or attack the service, or use it to track people outside the gate and shift it was given to you for.
You remain responsible for what you do with the register. VizPass records, times and stores what your gate captures; deciding who may enter, what identification is acceptable, and how long a register is kept remains yours.

6. What the AI does, and does not

Where AI assistance is switched on it drafts, and never decides. Every draft waits for a person to confirm it before anything is saved — so an AI misreading costs a correction, not a wrong record.

7. Availability and support

We aim to keep VizPass available at all times and publish status at /status. Planned maintenance is announced in advance where it could interrupt a gate.

8. Confidentiality

Each of us will protect the other's confidential information and use it only to make this agreement work. Ours includes non-public details of the service; yours includes your business and employee data.

9. Liability

Nothing here limits liability for fraud, wilful misconduct, death or personal injury, or anything else that cannot be limited under Indian law. Otherwise, and to the extent the law allows: neither of us is liable for indirect or consequential loss, or loss of profit, revenue or goodwill; and our total liability arising out of the service is limited to the fees you paid us in the twelve months before the claim.

10. Suspension and termination

You may cancel at any time, effective at the end of your paid term. We do not lock you into a notice period you did not agree to.
We may suspend an account for non-payment after notice and a grace period, or immediately where use threatens the security or lawful operation of the service.
Either of us may terminate for a material breach the other has not fixed within 30 days of being told about it.
On termination your export rights under clause 4 survive for the wind-down window.

11. Changes to these terms

We may update these terms; we will change the date above and notify account owners of material changes before they take effect. Continuing to use VizPass after that means you accept them.

12. Governing law

These terms are governed by the laws of India, and the courts at our registered office have exclusive jurisdiction.

13. Data processing

For the personal data inside your account — your staff, and the people recorded at your gates — you are the data fiduciary and we are your data processor under the DPDP Act, 2023. The Data Processing Agreement sets out what we do on your instruction, the security measures we keep, how a breach is notified, how retention and deletion work, and the full list of sub-processors. It is incorporated in these terms and prevails over them on the handling of personal data.
