How it holds together

Four rules the whole product follows

The count is derived, never typed

“On site now” is worked out from check-ins and check-outs every time you ask. Nobody maintains it, so nobody can forget to. It is the number a fire warden reads out, which is exactly why it is not a field somebody edits.

Records are reversed, never deleted

A mistake at the gate is corrected by reversing the entry with a reason. The reversal counts nowhere — not in the on-site count, not in the totals — but it stays visible, so the history of the day still reads honestly afterwards.

Nothing leaves without a signature

Material going out and staff stepping out both wait for an approval, and the chain can be as many levels as you need. Anything sitting too long escalates on its own rather than being quietly forgotten.

A guard sees the gate, and nothing else

Roles are narrow on purpose. The Security Guard account admits and releases visitors; it cannot open staff records, reports or settings. The account standing at a gate all day should not be the one that can change your configuration.

Start with the front desk, add the rest later

The visitor register works on its own. Couriers, material movement, exit passes and attendance are switches you turn on when you want them — and a plan you outgrow is changed, not migrated.
