Contractor and Labour Entry at the Gate
VizPass checks contract labour in at the gate the way it checks in any visitor: photo, ID and the company they came from go on a pass for that visit, a pass that has expired or been used is refused, and everyone inside is on one live list for the roll call. It does not manage contractors, work orders or inductions, and this page says exactly where that line sits.
Most contract labour arrives the same way every day: a crew from a labour contractor, some faces the guard knows and some he doesn't. VizPass handles them at the gate the way it handles any visitor — each person is checked in with a photo, ID and the company they came from, on a pass for that visit — so the site always knows who came in, from whom, and who is still inside.
Checking Contract Labour in at the Gate
- Each worker is checked in with their photo and ID. Switch the company field on in your gate settings and every pass also records which contractor they came from.
- Regular workers can be pre-registered, so they are already on the gate's list when they arrive. Walk-ins scan a QR code and fill in their own details while the guard checks the next person.
- A returning worker is recognised by their phone number, with their name, company and ID details already filled in, so tomorrow's check-in is a confirmation rather than a fresh registration.
Crews are checked in one person at a time; there is no single-tap entry for a whole gang.
Passes That Can't Be Reused
- A pass covers one visit. The exit scan closes it, so yesterday's pass cannot be used to walk back in today.
- The host sets when each pass ends. A pass past its end time is refused at entry, and the guard sees why — the host has to book a new visit. An expired pass can still be used to leave.
- A worker who must not come back — after an incident, or until your safety team has re-inducted them — can be blocked. No pass can be issued to a blocked person until an admin unblocks them.
Who Is Inside, and from Which Contractor
- The On Site list shows everyone inside right now, by site and gate, and can be searched by company name to see who from one contractor is still on the floor.
- Anyone still inside after their pass ends is reported to the host and admins, once per pass.
- During an evacuation the same list becomes the roll call, and each person can be marked safe.
VizPass does not keep a running tally per contractor or compare it with a work order. Visit reports export as CSV, so a day's entries can be totalled by company if you need the number.
What VizPass Does Not Do for Contractors

Worker Data and Compliance

How Do I Stop a Contractor Sending Workers Who Haven't Done Their Induction?
VizPass cannot check an induction — it does not store induction records or certificates. What it controls is the pass: each worker needs a pass of their own, booked by a host, and a pass that has expired or been used is refused at the gate. When a worker's induction lapses, block them; no pass can be issued to a blocked person until an admin unblocks them after re-induction. Running the induction itself stays with your safety team.
Can I See Which Contractors Have Workers Inside Right Now?
Partly. The On Site list shows everyone inside with the company on each person's pass, and you can search it by company name to see who from one contractor is still on the floor. What it does not give you is a running tally per contractor or a comparison with a work order. If you need contractor-wise totals, export the day's visit report as CSV and total it by company.

How Do I Handle a Whole Crew Arriving Together from One Contractor?

To keep the queue moving, pre-register the regular crew so they are already on the gate's list, and let walk-ins scan the gate QR code and fill in their own details on their phones while the guard checks ID. A returning worker's details fill in from their phone number, which is where most of the time is saved.
Can a Worker Walk Back in on an Old Pass?
No. A pass past its end time is refused at entry, and the guard is told the pass has expired and the host must book a new visit. A pass that has already been used is closed by its exit scan, so it is not found at the gate again. The one thing an expired pass still allows is leaving, so nobody is trapped inside because their time ran out.
