What a visitor management system should do

The lifecycle is the same everywhere. The differences are in how far each stage goes.

Before arrival. A host raises an invitation and the visitor completes their own details in advance. Pre-registration is the single biggest improvement to a busy entrance, because the gate then verifies instead of transcribing.

At the gate. Expected visitors are matched to their visit; anyone else is registered as a walk-in. Where policy requires it, a photograph and identity document are captured, and OTP verification confirms the phone number is genuine.

Approval. The host accepts responsibility before entry, not after. Approval over WhatsApp works in Indian workplaces because it reaches people where they already are — an email to someone on a shop floor arrives tomorrow.

The pass. A numbered gate pass, printed on a printer you already own or issued digitally.

Exit. The record closes when the visitor leaves. Skipped almost everywhere, and without it occupancy is a guess.

Afterwards. Everything is searchable by name, date, gate or host, and exportable when somebody asks for six months of entries.

Beyond visitors: the part most products skip

At an Indian industrial gate, visitors are a minority of what crosses the boundary. A visitor management system that stops at the reception desk leaves the harder half on paper.

Contractors and labour. Treated as recurring people whose induction, insurance and licence have expiry dates checked at entry — not as a fresh visitor every morning. Couriers and parcels. Logged and handed over against a record rather than stacked on a desk.

Material in and out. Gate passes for inward, outward and returnable movement, so a store's register and its shelves can be reconciled — and so an outward pass nobody closed is visible.

Staff leaving during shift. Out-gate passes recorded rather than a verbal nod.

People who should not be admitted. A watchlist checked automatically at every entrance, not remembered by one guard on one gate.

Built for more than one gate

Most Indian sites have a main gate, a material gate and a back entrance, and the back gate is usually the weak one — so a visitor management system that only covers reception covers the wrong door. VizPass applies one policy across every gate and every site, so a person blocked at one entrance is blocked at all of them, and reporting covers the organisation rather than a doorway.

What it runs on

No kiosk. This visitor management system runs in a browser and installs to the home screen on Android and iOS, so a guard works from the phone in their pocket or a shared tablet at the gate. Passes print on a printer you already have.

That matters commercially: hardware is usually what turns a straightforward decision into a purchase order and pushes a project into next year. The interface is cached so it opens immediately on a weak connection, though a check-in still needs the server — see the app guide for the detail.

Pricing

Published rather than quoted on request. Plans are tiered by visitor volume rather than per user, which matters more than it sounds: per-user pricing makes every guard on every shift a line item, so sites start sharing one login and lose the audit trail they bought the system for.

Your data

VizPass runs on infrastructure hosted in India. Records carry the company they belong to, access is governed by seven roles and 57 individual permissions, actions are written to an audit log, and deletion is permanent when we run it.

Under India's DPDP Act your organisation is the Data Fiduciary for your visitor register — no software purchase moves that. We say what we do and what we do not in security and DPDP and visitor data, including that we hold no ISO 27001 or SOC 2 certification.

Against a paper register

The register is the real incumbent, and it has genuine advantages: no cost, no training, works in a power cut. What it cannot do is answer a question — who is inside now, whether an induction is current, what left through the gate last Tuesday. The full comparison sets both sides out.

Where VizPass is not the right choice

• You need turnstiles, boom barriers or biometric doors driven by the same system. Buy access-control-led; VizPass manages the register and the approval, not the barrier.
• Your real requirement is desk booking, room scheduling and workplace analytics. Buy a workplace platform.
• A security certification is a hard procurement gate. We hold none.
• You need recorded visitor consent or automated retention deletion. Neither exists in the product today.
• Your gate has no connectivity at all. Tell us early — it is a real constraint.

The compliance claim worth checking

Visitor management vendors selling into India routinely show ISO 27001, SOC 2 and GDPR badges. Those are real standards and worth having. None of them is the law that governs your visitor register.

If your organisation is in India and your visitors are in India, the Act that applies is the Digital Personal Data Protection Act, 2023. Under it, your organisation — not your software supplier — is the Data Fiduciary for the names, phone numbers, photographs and ID details collected at your gate. The duties to give notice, hold a lawful basis, set a retention period, answer a visitor who asks what you hold, and report a breach all sit with you.

That has two consequences when you are comparing products.

A certification is not compliance with your obligations. ISO 27001 says a supplier manages information security to a standard. It says nothing about whether your gate displays a notice or deletes records on a schedule. Both matter; they are not substitutes.

A vendor claiming to make you compliant is describing something that cannot be sold. No purchase transfers a Data Fiduciary's duties. Ask any supplier — including us — which specific law they mean, and what their product does about your obligations under it rather than theirs.

What VizPass provides against those obligations is set out plainly, including what it does not do, in DPDP and visitor data and security. We hold no ISO 27001 or SOC 2 certification, and we say so rather than leaving you to find out at procurement.
