Best visitor management app: what to look for on a phone
A visitor management app has three users — guard, visitor and host. What each needs, why installable web apps usually beat store apps at the gate, and what to test on a phone.
"App" is the word people use, but it hides the question that matters: whose phone, doing what? A visitor management app has three different users, and most products are good at one of them.
- The guard at the gate, using it for a whole shift, often one-handed, sometimes in poor light.
- The visitor, who uses it once and will not install anything.
- The host, who needs to approve someone in five seconds without leaving what they are doing.
A product that is excellent for the guard and useless for the host produces a system that gets bypassed by lunchtime. Judge an app on all three.
What the guard's phone actually needs
- Check-in in under thirty seconds, including a photo. If it takes longer than writing in the book, the book wins.
- Big targets. Gate work happens standing up, in a hurry, sometimes in gloves.
- Check-out that is one tap. This is where most systems quietly fail, and without exits your occupancy figure is fiction.
- The watchlist applied automatically rather than remembered.
- Contractor validity shown at entry, not buried in a profile.
- Works on the phone they already own. A product needing its own hardware is a product with a purchase order in front of it.
What the visitor should never be asked to do
Install anything. A visitor arrives once; asking for an app download at the gate is how queues form.
The right pattern is pre-registration through a link, and OTP verification on the number they already have. The visitor's phone is used, not colonised.
What the host needs
Approval where they already are. In practice that means WhatsApp, because in Indian workplaces an email to someone on the shop floor or in a meeting is a message that arrives tomorrow. Host approval that depends on opening a separate app is host approval that gets skipped, and once it is skipped the guard goes back to phoning.
App store app, or install from the browser?
This is the distinction behind the search, and it is worth understanding before you shortlist.
A store app is downloaded from Google Play or the App Store. It can use the device more deeply and it feels familiar. The costs are real: every update waits for review, rolling out to guards' phones needs someone to manage it, and on a shared gate device somebody has to own the account.
An installable web app — a PWA — is opened in the browser and added to the home screen. It then launches full-screen like any other app. Updates arrive when the page loads, so every gate is on the same version without anyone chasing it, and there is nothing to approve or distribute.
For gate work the second usually wins, because the fleet is guards' personal phones and shared tablets rather than managed corporate devices. What a store app still does better is deep hardware access and true offline operation.

Test these five things on a phone, not a laptop
Every product looks fine on a 27-inch monitor. Ask to run this on an actual phone:
1. Check a visitor in, with a photo, timed. Then do it again with one hand.
2. Check them out. Count the taps.
3. Approve a visit as the host without opening a new app.
4. Pull up who is inside at the assembly point.
5. Do all of it on the office wifi at its worst, or on mobile data with one bar.
If a vendor will only demo on a laptop, you have learned something.
Where VizPass fits
Good fit: gates staffed by people with ordinary Android phones or a shared tablet, where the same app must handle visitors, contractors, couriers and material, and where you would rather not buy hardware to begin.
Poor fit: sites with no connectivity at the gate, or where a native store app is a procurement requirement in itself. Also poor if you need the app to drive turnstiles and doors — that is an access-control purchase.
