VizPass is visitor pass software for Indian offices, factories, warehouses and campuses. Every pass carries the visitor's photo, name, host, purpose, validity and a QR code, and the host can approve the visit on WhatsApp before it is issued. The pass prints at the gate — A6, A7, ID badge or thermal slip — or goes to the visitor's phone, and a scan at exit closes it. It runs on any Android tablet or the guard's phone, from ₹1,499/month with a 7-day free trial.

How it works at the gate

Four Steps, Under a Minute per Visitor

01Photo and ID at the GateThe guard captures the visitor on a tablet — the visitor installs nothing.
02Host Approves on WhatsAppThe person being visited gets a request and taps admit or decline.
03A QR Pass Is PrintedA pass with the visitor’s photo and a QR code is handed over.
04Scan Out at the ExitScanning out closes the record, so the on-site list stays true.

A paper visitors pass says a name and a time, and nothing else. It does not say who approved the visit, whether the person ever left, or whether the same slip comes back tomorrow. VizPass visitor pass software turns every pass into a record that opens at the gate and closes at the exit.

What Goes on a Visitor Pass

  • Photo and name — taken at the gate, so the face on the pass is the face in front of the guard.
  • Host and purpose — who they are meeting, and why.
  • Valid until — once it passes, the host and admins are alerted.
  • QR code — scanned at exit to close the record.
  • Your choice of extra lines — vehicle number, items carried, site, or an ID number masked to its last four digits.
Pass types

Six Kinds of Pass, One Visitor Pass System

Each one starts differently — and every one of them ends in the same searchable log.

Visitor Pass at the Gate

The guard captures the photo and ID, picks the host and purpose, and adds the vehicle number if they drove in.

Photo + ID capture

Pre-Registered Pass

The host invites the visitor ahead of time; once they accept, the invitation page becomes their QR entry pass on the phone.

Invited before arrival

Walk-In QR Pass

Unexpected visitors scan a QR code at the gate and fill in their own details, with an OTP to verify the mobile number.

Self check-in

Contractor Pass

Issued with an end time for the job; once it lapses, the pass is refused at the gate.

Expired passes refused

Couriers and Deliveries

Parcels are logged at the gate and held until handed over; a courier who must go inside gets a walk-in pass.

Parcel log

Staff Out-Pass

Employees stepping out get an out-pass with a planned return time; a late return alerts them and their manager.

Overdue alerts

How a Visitor Pass Is Issued and Closed

  • Issued once the photo and ID are captured — and, if you require it, once the host approves on WhatsApp. Until then the visitor cannot be checked in.
  • Printed or on the phone — the gate prints it, and the same pass can go to the visitor on WhatsApp or email.
  • Closed by a QR scan at exit. A pass with no exit scan stays open on the log.

Before any photo or ID is taken, the visitor sees your privacy notice and their consent is recorded on the pass — see DPDP visitor data.

From gate to exit

Three Steps from Arrival to Exit

1

Capture at the Gate

Photo, ID and visit details on the guard's phone or tablet — or already filled in by a pre-registered or walk-in visitor.

2

Host Approves, Pass Prints

The host approves or declines from a link on WhatsApp, with no login, and the pass prints at the gate or goes to the visitor's phone.

3

Exit Scan Closes It

Scanning the QR at exit closes the record. Still inside after the pass expires? The host and admins are told — once.

Paper Visitor Slip vs VizPass Visitor Pass

What matters Paper slip or sticker AVizPass pass
Who is on the pass A name written by the guard, often unreadable Photo, name, host, purpose and validity, printed
Host approval A call to the extension, if anyone answers Approve or decline on WhatsApp, wherever the host is
Leaving the site Slip collected at the gate — or not QR scan at exit closes the record
Visitor stays past the time Nobody notices Overstay alert to host and admins, once per pass
Someone barred from the site Gets a slip if the guard was not told Cannot be issued a pass until an admin unblocks them
Finding last month's visitor Leafing through register books Search and reports for any date range
Cost Slip books, stickers and guard time From ₹1,499/month, no hardware to buy
Our honest verdict

A paper slip is cheap, and at a small office with a few visitors a week it is often enough. It stops working once you need to know who approved a visit, who is still inside, or who should never have been given a pass — which is what visitor pass solutions are for.

Pass Formats: A6, A7, ID Badge or Thermal Slip

The pass prints on what your gate already has: an A6 card, an A7 slip, an 86 × 54 mm ID badge, an A5 or A4 sheet, or an 80 mm or 58 mm thermal roll. Your logo, the visitor's photo and the QR code print by default, and you pick which lines appear. See gate pass printing and the guide to gate pass formats.

Digital Visitor Passes on the Phone

The link sent on WhatsApp or email opens the same pass, with the visitor's photo and the QR code to show at the gate. It never shows the ID number or ID document, it has no QR code until the visit is approved, and it stops working two days after the pass ends.

Blocked Visitors Never Get a Pass

A blocked person cannot be issued a pass until an admin unblocks them, and the reason stays on the record — see the visitor watchlist.

Four Visitor Pass Mistakes to Avoid

Passes with No End Time

Without a validity nobody can say who overstayed. Give each pass an end time that matches the visit.

Waving People Out Without a Scan

Every unscanned exit leaves a pass open and the inside list wrong. Make the exit scan the rule from day one.

Hosts Not Expecting the WhatsApp Request

If hosts are not told, the first approvals sit unanswered while visitors wait at the gate.

Printing the Full ID Number

Mask the ID number to its last four digits. Nobody at the gate needs the rest on a printed pass.

What VizPass Does Not Claim

  • It is software: no turnstiles, boom barriers, RFID readers or door controllers. A pass controls access by deciding who gets in and recording every entry and exit — it does not open a door.
  • It does not use face recognition or biometrics; the guard matches the photo on the pass.
  • It does not certify compliance with any standard.
  • For material, vehicles and staff passes in more depth, see gate pass management software.

Visitor Pass Software FAQs

What Is Visitor Pass Software?

Software that issues and tracks visitor passes instead of a paper slip or register. In VizPass the guard captures the visitor's photo and ID on a phone or tablet, the host can approve on WhatsApp, a pass with photo, host, purpose, validity and a QR code is printed or sent to the visitor's phone, and a QR scan at exit closes the record.

How Does a Visitor Pass Management System Work?

It follows each pass from issue to exit: the host pre-registers the visitor or the guard registers them at the gate, the host approves on WhatsApp if you require it, the pass is printed or sent to the phone, and the exit is scanned. Passes past their validity raise an overstay alert to the host and admins, passes with no exit scan stay open on the log, and reports cover any date range.

What Is a Visitor Gate Pass?

A visitor gate pass, or gatepass, is the slip or card that lets a visitor through the security gate. In a visitor gate pass management system like VizPass it carries the visitor's photo, name, host, purpose, validity and a QR code, and the gate scans the QR when the visitor leaves — so the pass also proves they went out.

Can Visitors Get a Digital Pass on Their Phone Instead of Paper?

Yes. The pass can be sent on WhatsApp or email as a link that opens it with the visitor's photo and QR code, to show at the gate. The link never shows the ID number or ID document, has no QR code until the visit is approved, and stops working two days after the pass ends. Pre-registered visitors receive their invitation the same way.

Does a Visitor Pass Show the Visitor's Photo and ID?

The photo prints on the pass by default, so the guard can match the face at entry and exit. The ID is captured at the gate and kept on the visit record; if you print the ID number it can be masked to its last four digits, and the phone pass never shows it. Every visitor sees your privacy notice first, and their consent is recorded on the pass.

Is a Guest Pass Different from a Visitor Pass?

Mostly in name. Hotels, housing societies and campuses tend to say guest pass; offices and factories say visitor pass. In VizPass they are the same pass: photo, host, purpose, validity and a QR code, with the visit pre-registered by the host or registered at the gate.

Can a Blocked Visitor Still Get a Pass?

No. A blocked visitor cannot be issued a pass until an admin unblocks them, and the reason for the block stays on the record, so the guard does not have to remember who was barred.

How Much Does Visitor Pass Software Cost in India?

VizPass is a flat monthly price with no per-user charges: ₹1,499 Single Gate, ₹4,999 Basic, ₹9,999 Front Desk and ₹14,999 Gate Control, each with a 7-day free trial. It runs on any Android tablet or the guard's phone, so there is no hardware to buy; a printer is only needed if you want printed passes.
