Companies already running their gates on VizPass
VizPass is a gate management system for Indian plants, warehouses, construction sites and campuses. Visitors, contractors, vehicles, returnable and non-returnable material, couriers and staff out-passes go through one record, run by the guard on a phone or Android tablet. Hosts approve on WhatsApp, exits are scanned, and you can see who is inside every gate and site on one account. It is software only — no boom barriers or turnstiles — from ₹1,499/month with a 7-day free trial.
Four Steps, Under a Minute per Visitor
A plant gate is not a visitor desk. In one shift the same guard lets in a service engineer, a crew of contract labour and a truck of raw material, takes in a courier, and lets an employee out to the bank — often writing each in a different register. A gate management system puts all of it on one record.
What a Gate Management System Covers
- People — visitors, contractors and staff stepping out, each with the check they need.
- Vehicles — the vehicle number on the visit; trucks in depth on the vehicle gate pass system page.
- Material — returnable (RGP) and non-returnable (NRGP) passes.
- Couriers — parcels in and out, with the handover recorded.
How each pass works is on gate pass management software; this page is about running the whole gate.
Everything That Crosses the Gate, One System
Each kind of traffic gets the check it needs — and all of it lands in the same searchable log.
Visitors
Photo and ID at the gate, host approval on WhatsApp, and a QR pass that an exit scan closes.

Passes carry an end time you set; an expired pass is refused at the gate.

The vehicle number is recorded on the visit, so the truck, the driver and the purpose are one record.

RGP and NRGP passes with item lines, quantity, value and a due date; each return gets its own RTN number.
RGP / NRGPCouriers
Inward parcels are held at the gate until handed over; outward ones are recorded as they leave.
Parcel logStaff Out-Passes
A planned return time on every out-pass; a late return alerts the employee and their manager.
Overdue alertsSeveral Gates and Sites on One Account
A main gate, a truck gate and a back gate at one plant, plus a warehouse and a head office elsewhere, run on one account. Each site keeps its own gates, hosts and approval rules, and each guard works on a phone or an Android tablet — no PC needed at the gate.
- Who is inside right now — a live list for each gate and each site, the same list used for evacuation roll call.
- Reports — for any date range.
- A daily or weekly summary by email — numbers only, no visitor names.

Approved Before Anything Crosses the Gate
Visitors
Where you require approval, the host approves or declines from a WhatsApp link with no login — and the gate cannot check in what the host has not agreed to.
Material
Outgoing material is approved first and issued at the gate second, so nothing walks out to be approved afterwards.
Staff Stepping Out
An out-pass is requested and approved before the exit; the approved pass opens at the gate 30 minutes before the planned time.
Separate Gate Registers vs One Gate Management System
| What matters | Registers at the gate | AVizPass |
|---|---|---|
| Visitors, material, couriers and staff exits | Four books in four handwritings | One searchable record, reports for any date range |
| Who is inside right now | Count the open lines in every book | A live list per gate and per site |
| A motor sent out for repair | A challan nobody closes | An RGP with a due date, partial returns and overdue alerts |
| Out for two hours, back after five | Noticed at the end of the shift, if at all | Overdue alert to the employee and their manager |
| Three gates, two sites | A register at every gate, collected weekly | One account; each site with its own gates, hosts and rules |
| Evacuation | This morning's register, not who is inside now | Live inside list, each person marked safe |
| Cost | Register books and guard time | From ₹1,499/month, no hardware to buy |
Registers can hold up at a single gate with light traffic. Once there are several gates, material going out and contractors coming in, keeping the books in step is the job nobody does — that is where a gate management system pays off. It does not replace a barrier or turnstile where you need something that physically stops people.
Gate Automation Software: What Actually Gets Automated
VizPass is software only. It does not drive boom barriers, turnstiles or door controllers, and it does not read number plates. What it automates is the paperwork: pre-registered and walk-in visitors fill in their own details, approvals reach people on WhatsApp, overstays and overdue returns raise alerts on their own, and every gate in and gate out is timestamped. If you have a barrier, keep it — the guard opens it once the pass is valid.
Gate Management Software for Construction Sites
Construction gates change every month: new contractors, new labour crews, new vehicles. Contractor and labour passes carry an end time and expired ones are refused at entry, tools sent off site go on returnable passes with due dates, vehicle numbers are logged, and the guard needs only a phone. More on construction sites.
A Gate Management Solution Built for India
Approvals run on WhatsApp, the app runs on phones guards already carry, and every visitor sees your privacy notice with consent recorded on the pass (DPDP Rules 2025, compliance deadline 13 May 2027). Plans are flat monthly in rupees, with no per-user charges.
Four Gate Rollout Mistakes to Avoid
Switching Every Gate on at Once
Run the busiest gate beside the register for a week, then add the truck gate, the back gate and the other sites.
One Gate That Never Scans Exits
If the back gate waves people out, the inside list is wrong for the whole site — and so is the roll call.
Approvers Not Briefed
Visitors and material sit at the gate when hosts and approvers do not expect the WhatsApp request.
No Power Backup at the Gate
Where power cuts are common, put the gate tablet and the pass printer on a small UPS.
What VizPass Does Not Claim
- No boom barriers, turnstiles, RFID readers, door controllers or number-plate cameras, and no biometrics or face recognition.
- Not a permit-to-work, safety-induction or PPE-check system.
- Not an inventory or ERP system: material passes record what crosses the gate, not your stock.
- Not certified to any standard.

Gate Management System FAQs
What Is a Gate Management System?
Software that runs everything crossing a site's gate on one record: visitors, contractors, vehicles, material on returnable and non-returnable passes, couriers and staff stepping out. In VizPass the guard works on a phone or Android tablet, approvals reach hosts on WhatsApp, exits are scanned, and you can see who is inside each gate and site right now.
How Is a Gate Management System Different from Gate Pass Software?
Gate pass software issues and closes passes. A gate management system is the whole gate around those passes: several gates and sites on one account, a live inside list, approvals, roll call, overdue alerts and reports. VizPass does both; how each pass works is covered on the gate pass management software page.
Is VizPass Gate Automation Software? Does It Control Boom Barriers or Turnstiles?
No. VizPass is software only and does not connect to boom barriers, turnstiles, RFID readers, door controllers or number-plate cameras. It automates the paperwork and the decisions around the gate — who is approved, who is inside, what is overdue — and the guard operates any barrier you already have.
Can It Work as Gate in Gate Out Software?
Yes. Every gate in and gate out is timestamped: visitors and contractors by a QR scan, staff out-passes when they leave and when they return, and material when it goes out, with each return logged under its own RTN number. Anything still out — a visitor, an employee or a returnable item — stays open on the log until it comes back. Wrong entries are reversed with a reason, not deleted.
Can Gate Check-In Be Automated Without Any Hardware?
The data entry can. Hosts pre-register expected visitors, walk-ins scan a QR code at the gate and fill in their own details with an OTP check on their mobile number, and the guard only confirms the photo and ID and prints or scans the pass. The physical gate itself is not automated — VizPass has no barrier or turnstile control.
Is There Gate Management Software for Construction Sites?
Yes. VizPass works at construction gates with no gate office, because the guard runs it on a phone. Passes carry an end time and expired ones are refused at entry, vehicle numbers are logged, tools sent off site go on returnable passes with due dates, and the live inside list supports roll call. It is not a permit-to-work or safety-induction system.
Can One Account Manage Several Gates and Sites?
Yes. A plant with three gates, a warehouse and a head office can run on one account. Each site has its own gates, hosts and approval rules, the inside list can be read per gate or per site, and reports cover any date range.
What Does a Gate Management System Cost in India?
VizPass is a flat monthly price with no per-user charges: ₹1,499 Single Gate, ₹4,999 Basic, ₹9,999 Front Desk and ₹14,999 Gate Control, each with a 7-day free trial. There is no hardware to buy — any Android tablet or the guard's phone works. Demos are in person across Delhi NCR and on a video call elsewhere in India.
