Companies already running their gates on VizPass

VizPass is a Visitor Management System for power plants and utilities: photo and ID capture for contractors, OEM engineers, auditors and visitors at the gate, WhatsApp host approval, QR passes, vehicle numbers on every entry, returnable passes for tools and spares sent out for repair, and a live on-site list for evacuation roll call. It runs on a guard's phone or any Android tablet, with no hardware to buy, plans from ₹1,499/month and a 7-day free trial.

How it works at the gate

Four Steps, Under a Minute per Visitor

01Photo and ID at the GateThe guard captures the visitor on a tablet — the visitor installs nothing.
02Host Approves on WhatsAppThe person being visited gets a request and taps admit or decline.
03A QR Pass Is PrintedA pass with the visitor’s photo and a QR code is handed over.
04Scan Out at the ExitScanning out closes the record, so the on-site list stays true.

During an annual overhaul a generating unit can see hundreds of contract workers, OEM engineers and transporters at its gate every morning, on top of auditors, inspectors and the usual vendors. A substation or a water treatment plant sees far fewer people — often with a single guard and no reception at all. Either way, a paper register cannot tell you who is inside right now. VizPass puts visitors, contractors, vehicles, material and staff out-passes on one gate record that runs on a tablet or the guard's own phone.

What Actually Happens at a Power Plant Gate

The visitor's photo and ID are captured at the gate, the engineer they are visiting approves on WhatsApp, and a QR pass closes the record when it is scanned at exit. A pass with no exit scan stays open on the log.

  • Blocked after an incident? That person cannot be issued a pass until an admin unblocks them, and the reason stays on the record.
  • Still inside after the pass expires? The host and the admins are alerted — once, so the alert is not muted by the second day.
  • Came in with a vehicle? The vehicle number is recorded on the same visit.
Who comes through your gate

Six Kinds of Traffic, One Gate Record

Each gets the check it needs — and all of it lands in the same searchable log.

OEM Engineers and Technicians

Pre-registered by the host engineer, so the pass is ready when the service team reaches the gate.

Pre-registered pass

Contract Labour and Shutdown Crews

Checked at entry against the contract validity on file — a lapsed contract is flagged at the gate.

Validity checked at entry

Auditors and Inspectors

Energy auditors, statutory inspectors and officials logged with photo, host and time.

Dated, searchable log

Transporters and Tankers

The vehicle number goes on the visit, so the truck and its driver are one record.

Vehicle on the pass

Vendors and Couriers

Walk-ins scan a QR code at the gate and register themselves in under a minute.

QR self check-in

Staff Stepping Out

Out-passes carry a planned return time; an overdue return alerts the manager.

Overdue alerts

Built for How Power and Utility Sites Actually Run

  • Thermal, gas and hydro stations — a steady flow of vendors most of the year, then a contractor surge during shutdowns and annual overhauls.
  • Substations and switchyards — often one guard and no reception. The guard's phone is enough, and approval reaches the engineer on WhatsApp wherever they are.
  • Solar and wind parks — remote and spread out, visited by O&M contractors and OEM technicians. Demos run on a video call pointed at your gate.
  • Water treatment, pumping stations and city gas — utility sites with inspectors, contractors and the public at the gate.

Shutdowns and overhauls

A Contractor Surge Without a Queue at the Gate

1

Pre-Register the Crews

Host engineers invite the contractor teams before the shutdown, so passes are ready on the first morning.

2

Check Validity at Entry

Each contractor is checked against the validity on file, so a lapsed agency contract is caught at the gate.

3

Flag Anyone Who Overstays

If someone is still inside after their pass expires, the host and admins are told — once per pass.

Tools and Spares That Leave Are Always on the Log

Out for Repair on a Returnable Pass

Motors going for rewinding, relays and pumps going back to the OEM — each on an RGP with item lines, value, the vendor and a due date.

Back in Parts, Each Logged

Every return gets its own RTN number, the pass stays partially returned until the balance arrives, and overdue items are chased.

Scrap on a Non-Returnable Pass

Condemned spares and scrap go out on an NRGP, so they still appear on the gate log.

Approval Before It Leaves

Out-passes can be routed for approval first, so the guard never decides what leaves the plant.

Paper Register vs VizPass at a Plant Gate

What matters Paper register AVizPass
300 contractors on the first morning of an overhaul A queue at the gate while entries are copied by hand Pre-registered passes, validity checked at entry
A person barred after an incident Gets in if the shift guard has not heard Cannot be issued a pass until an admin unblocks them
Someone still inside at night Nobody knows until the register is read Host and admins alerted when the pass expires
Evacuation or mock drill This morning's register, not who is inside now Live list of visitors and contractors inside, ticked off as safe
A motor sent out for rewinding A gate challan that may never be closed An RGP with a due date, partial returns and overdue alerts
Cost Register books and guard time From ₹1,499/month, no hardware to buy
Our honest verdict

A register can hold up at a quiet substation with a handful of visitors a week. Once a site sees shutdown crews, OEM teams and material leaving for repair, the gap between the register and reality is exactly where safety and stock problems start.

Safety, Roll Call and Evacuation

Entry and exit are logged live, so when an evacuation is raised the list of visitors and contractors inside is the real one, and each person can be ticked off as safe during the roll call. Mock drills stop depending on a register that is hours out of date. Statutory expectations on factory safety are set out by DGFASLI.

One Account Across Stations, Substations and Offices

A utility with a generating station, a dozen substations and a head office runs on one account. Each site keeps its own gates, hosts and approval rules; the register, the privacy notice standard and the roll call stay common. It works whoever runs the gate — CISF, state police or a private security agency — and gives them one searchable record instead of a different register at every site. See how businesses combine sites on use cases.

Visitor Data and the DPDP Rules

Every visitor sees your privacy notice and gives consent before their photo and ID are captured, and the consent is recorded against each pass — as the DPDP Rules 2025 require (compliance deadline 13 May 2027; MeitY publishes the framework).

Four Rollout Mistakes to Avoid

Going Live During an Overhaul

Start in a normal week and run one gate beside the register for seven days before the shutdown arrives.

Host Engineers Not Briefed

If engineers do not expect the WhatsApp request, the first approvals sit unanswered at the gate.

No Backup Power at the Gate

On sites with frequent cuts, put the gate tablet and pass printer on a small UPS.

English-Only Signs

Contract crews read the gate notice in their own language — put the privacy notice and instructions in it.

What VizPass Does Not Claim

  • It is software: no turnstiles, boom barriers, RFID readers or door controllers. It controls access by deciding who gets a pass and recording every entry and exit.
  • It is not a permit-to-work, lock-out/tag-out or safety-induction system, and it does not check PPE.
  • It is not SCADA or OT security, and it does not certify compliance with any standard.
  • In-person demos cover Noida, Greater Noida, Ghaziabad, Delhi, Gurugram and Faridabad; everywhere else the demo and go-live run on a video call.

Visitor Management System for Power Plants and Utilities FAQs

What Does a Visitor Management System Do at a Power Plant Gate?

It replaces the paper register: the visitor's photo and ID are captured at the gate, the engineer they are visiting approves on WhatsApp, a QR pass is issued and scanning it at exit closes the record. Contractors are checked against their validity, vehicle numbers are recorded on the visit, and the list of who is inside stays live for roll call.

How Do You Handle Hundreds of Contractors During a Shutdown or Annual Overhaul?

Host engineers pre-register the contractor teams before the shutdown, so passes are ready on the first morning. Each contractor is checked against the validity on file at entry, and anyone still inside after their pass expires triggers an alert to the host and admins.

Can It Work at Unmanned or Single-Guard Substations?

Yes. It runs on the guard's own phone or any Android tablet, and host approval reaches the engineer on WhatsApp wherever they are, so a site with no receptionist can still keep a proper record. Walk-in visitors can also register themselves by scanning a QR code at the gate.

Does VizPass Record Vehicle Numbers and Material Sent Out for Repair?

Yes. The vehicle number is recorded on the visit. Tools and spares sent out for repair go on a returnable gate pass with item lines, value and a due date; each return is logged with its own RTN number, and overdue items trigger alerts. Scrap and condemned material go out on a non-returnable pass.

How Does Evacuation Roll Call Work for Visitors and Contractors?

Because entry and exit are logged live, raising an evacuation gives you the actual list of visitors and contractors inside, and each person can be ticked off as safe during the roll call. Anyone left unticked is the name to chase.

Does It Replace Permit-To-Work or Safety Induction Systems?

No. VizPass is a gate and visitor system. It does not issue work permits, run lock-out/tag-out, deliver safety inductions or check PPE — those stay with your existing safety processes.

How Is Visitor ID Data Handled Under India's DPDP Rules?

Every visitor sees your company's privacy notice and gives consent before their photo and ID are captured, and the consent is recorded against each pass. The DPDP Rules 2025 have a compliance deadline of 13 May 2027, and the framework is published by MeitY.

What Does It Cost for a Power or Utility Site, and Is There a Free Trial?

Plans are a flat monthly price with no per-user charges: ₹1,499 Single Gate, ₹4,999 Basic, ₹9,999 Front Desk and ₹14,999 Gate Control, each with a 7-day free trial. No hardware purchase is needed — any Android tablet or the guard's phone works.
