What Is Contractor Induction?

Contractor induction is the first line of defence against unqualified or expired labour entering a plant, warehouse or office campus. When a contractor’s workforce is not tracked centrally, security teams waste time at the gate, compliance audits turn into paperwork marathons, and the risk of safety incidents rises sharply. VizPass does not hold that record or check it at the gate. What it does is record every worker’s visit and stop any individual you have blocked, which covers part of the problem and leaves the induction itself with your safety team.

What an Induction Covers

An induction is the briefing a contractor’s worker completes before starting work on site: site rules, hazards, emergency routes, permit‑to‑work rules and the PPE the job needs. The site’s safety team runs it, records the date and repeats it on a renewal cycle.

• Who runs it – the safety or EHS team, often with the contractor’s supervisor.
• What is kept – the worker’s name, the date the induction was completed and when it falls due again.
• Where it lives – your EHS or HR system, a register or a spreadsheet. VizPass does not store induction records.

Knowing where that record lives matters, because the gate is where a lapsed induction most often slips through.

What VizPass Does at the Gate

VizPass cannot see whether a worker’s induction is current. It shows no induction status on screen and does not refuse entry when an induction expires. What it gives the guard is a record of each visit and a hard stop for the people you have blocked.

• Photo and ID – the guard captures the worker’s photo and ID on a phone or tablet at every visit.
• Company on the pass – with the company field switched on, each pass records which contractor the worker came from.
• Blocking – when a worker’s induction lapses, an admin blocks that person, and the gate cannot issue them a pass until an admin unblocks them after re‑induction. Blocking applies to individual people, not to a whole contractor.

When a Worker Is Re‑Inducted

Renewal happens in your own records, not in VizPass. If the worker was blocked when the induction lapsed, an admin unblocks them once the refresher is done, and the gate can issue them a pass again.

• One pass per visit – a regular worker gets a new pass for every visit; each pass covers one entry and one exit and cannot be reused.
• Returning workers recognised – a returning worker is recognised by phone number, so their name, company, ID details and host fill in.
• Visit history kept – past visits stay in the register and export as CSV; induction history stays in your own system.

Keeping the two records apart means the gate log never claims more than the gate actually checked.
